Commercial air-conditioning cleaning: fan coils, VRV and access checklist
For office or shop air-conditioning cleaning, establish equipment types, quantities, access panels and building coordination first. Separate cleaning, diagnosis, parts and tests when comparing fan-coil, split-unit or VRV service proposals.
Air-conditioning cleaning in Hong KongCount equipment by type and location
List known models and quantities of fan coils, split units, window units or VRV equipment by room or area, with photographs and current concerns. Responsibility for indoor equipment, central plant and shared pipework may differ. Confirm the service boundary with management before treating every connected item as part of one cleaning quotation.
For concealed units, identify access panels and the furniture or equipment below them. Do not enter ceiling spaces, open live equipment or handle refrigerant to gather quotation information. Ask the contractor to arrange an appropriate survey for details that cannot be checked safely.
Separate cleaning scope from repairs
The proposal should identify components covered, protection and completion checks. A price per unit is comparable only when equipment and tasks are aligned. Report leaks, odours, noise or cooling concerns and confirm whether they need diagnosis or repair beyond the quoted cleaning work.
EMSD's Energy Efficient Buildings booklet includes air-conditioning maintenance advice that supports planning for routine care. Confirm the actual cleaning method and maintenance arrangements against manufacturer information, equipment condition and site requirements. Establish the work's scope and expected checks rather than assuming cleaning resolves every fault or delivers a fixed energy saving.
| Quotation item | Check |
|---|---|
| Equipment list | Types, locations, quantities and accessible scope. |
| Cleaning coverage | Included components, method and exclusions. |
| Access and protection | Access panels, equipment below, moving items and protection. |
| Building coordination | Shutdown, power, drainage, shared systems and work windows. |
| Diagnosis and handover | Known faults, additional repair authority and completion checks. |
Agree access, restoration and service records
For occupied offices or shops, agree affected areas, service windows and management conditions. Have responsible personnel arrange required isolation and restoration. If central systems or other contractors are involved, establish attendance and coordination before the cleaning team is booked.
At handover, reconcile completed, inaccessible and repair-required items against the inventory. Retain photographs, completion checks and follow-up recommendations, using equipment condition to plan subsequent maintenance. The number of units cleaned should remain distinct from a finding that every installation is operating normally.

Common questions
Will cleaning always resolve a water leak?
The equipment and drainage need assessment. Report the symptoms and distinguish the cleaning scope from inspection and any repairs that may be required.
Can VRV units and fan coils be priced as identical work?
Compare actual models, components covered, access and building coordination. Equal quantities do not establish an equivalent service scope.
Discuss commercial air-conditioning cleaning and access
Send equipment photos, quantities, access-panel details and work windows to review cleaning scope.
- Review equipment and cleaning coverage
- Coordinate site and building arrangements
- Define checks and follow-up repairs
