Fire projects and maintenance
Fire engineering quotations: drawings, equipment and scope checklist
Prepare a fire-engineering quotation brief that identifies the problem, premises and deliverables. Use the scope worksheet below to give contractors comparable information and make differences between their proposals easier to resolve.
Hong Kong fire services and installation worksStart with the reason for the work
Identify whether the request concerns installation, alterations, repair, annual inspection or ongoing maintenance. Record the trigger, such as a changed fit-out plan, an equipment fault or a written requirement. A project may need several of these services; list them separately so the quotation covers each requested task.
Give the full address, floor and unit, identifying tenant areas and shared installations. Date and label the drawing revision. Where drawings are unavailable, supply photographs and known equipment details, marking quantities that require a survey as unconfirmed rather than treating them as a fixed inventory.
Use a common scope worksheet
Issue the same information to each bidder and ask for assumptions, inclusions and separately priced items. If the survey reveals additional work, circulate the clarification to every invited contractor so revised quotations remain comparable.
Check contractor registration against the actual installations and tasks. Establish which legal entity contracts for the work, which party controls the design and who performs the relevant inspections. These roles should be identifiable in the proposal before appointment.
| Quotation item | Information to provide |
|---|---|
| Equipment and quantities | Inventory, locations, known makes/models and items awaiting verification. |
| Drawings and requirements | Current drawing revision, written requirements and the extent of this change. |
| Site coordination | Access windows, shutdown arrangements, drainage and attendance by other trades. |
| Tests and records | Test scope, witnesses, as-built information, reports and applicable certificates. |
| Unconfirmed items | Separate rates, quantity verification and the person approving variations. |
Resolve differences before appointment
Before comparing totals, allocate removal, making good, power supplies, testing, retesting and documents. For work affecting existing installations, ask the contractor and management to address connected-system effects and the required notices. Confirm the affected scope rather than assuming neighbouring systems remain operational.
Nominate an owner or management representative to receive clarifications, authorise additional work and accept records. At completion, reconcile equipment, test results, outstanding items and documents against the agreed worksheet, assigning an owner and follow-up date to each remaining action.
Prepare these details for your enquiry
- Reason for work and full premises address
- Dated drawing revisions or site photographs
- Equipment, quantities and unverified information
- Installation, shutdown, testing and trade responsibilities
- Exclusions, variation authority and handover list
Common questions
Can I enquire with photographs only?
Yes. Provide the address, reason for work and photographs taken safely. Photos cannot establish concealed pipes, wiring or a complete inventory; the proposal should identify what still needs verification on site.
Does the lowest quotation include all approvals?
The total price does not establish that. Allocate design, statutory submissions, management permission and authority inspections explicitly, recording any parts excluded from the contractor's scope.
Discuss your fire-engineering scope and quotation
Send the address, project trigger and available drawings so we can identify the survey and quotation scope.
- Check equipment and contracting company
- Identify installation and coordination items
- Set out testing and handover records
