Sprinkler annual inspections: a preparation guide for property managers

Before booking a sprinkler inspection, establish the system boundary, access and testing arrangements. Here is what management can prepare and what to check when the records are handed over.

Does an inspection quote include every repair?

Check the quoted scope. Inspection, testing, replacement parts, repairs and retesting may be separate items; clarify them before appointment.

Start with the system boundary

Sprinklers in a mall, office block and individual units may share pumps or a water supply. Give the contractor the building, floors and tenancy boundaries so that management and tenant responsibilities can be established.

FSD Circular 5/2023 provides a checklist for the applicable equipment and tests. The number of sprinkler heads is useful, but does not by itself define a complete system inspection.

Agree access and testing arrangements

Prepare access contacts and keys for pump rooms, valves and the floors being inspected. Explain trading hours, security procedures and drainage restrictions. Confirm any tenant access or attendance by other contractors before fixing the date.

If testing requires a shutdown, the contractor should assess the affected area and connected systems, then arrange the applicable notices, precautions and reinstatement. Management staff should not operate valves to carry out their own tests.

Keep findings, repairs and inspection records clear

Check the report against equipment locations, the tested scope and any areas that could not be accessed. For defects, ask for locations and proposed work, with separately priced repairs and retesting where needed.

Retain the completed checklist, test results and applicable certificates. Identify the owner and next action for outstanding repairs; receipt of a document does not mean every defect has been resolved.
